The 4-Step Lead Research Workflow That Actually Scales

Most “lead research” content is the same recycled advice: scrape LinkedIn, find emails, send templates. That works, but it doesn’t scale. Here’s the four-step workflow that lets a small team research 500+ qualified leads per day using only free tools and a few smart shortcuts.

Step 1: Define your ideal lead in writing

Before you start looking, write down exactly who you want to find. Industry, company size, role, location, tech stack, signals of pain. The more specific the better. “Marketing managers at SaaS companies with 50-200 employees in North America” beats “B2B leads” every time.

Step 2: Source from public data first

Public data is the best place to start: company websites, GitHub repos, conference speaker lists, public Slack communities, blog comments, podcast guest lists. These are 100% legal, often overlooked, and usually higher quality than paid databases.

Step 3: Extract and enrich in batches

Don’t extract one company at a time. Batch your research by source — extract all emails from a conference page, all contacts from a GitHub org, all authors from a list of blog posts. Use a client-side tool to dedupe and clean each batch in seconds.

Step 4: Verify and qualify before outreach

Verification is the step most teams skip. Run your list through a free email verification tool, drop the obvious bounces, and manually skim the rest. A 200-person verified list will outperform a 2,000-person unverified list every single time.

Bonus: The 80/20 of lead research

If you only have an hour a day for research, spend 80% of it on Step 1 (defining the lead) and Step 4 (verifying and qualifying). The middle two steps can be partially automated. The first and last cannot.

You don’t need a database of 10 million contacts. You need 200 people who actually want to hear from you.

Once you have a clean, qualified list, the outreach itself is the easy part. Focus on relevance, value, and brevity — and you’ll outperform 95% of the cold emails in anyone’s inbox.
